Incident Email Notifications

Learn which permission controls incident notification emails in Alma, what the email includes, and how admins can confirm staff are enrolled to receive notifications.

When an incident is created in Alma, staff with the correct permission receive an automatic email notification. This article explains which permission controls those emails, what the notification includes, and how administrators can verify or update a staff member's enrollment.

How Incident Email Notifications Work

Staff receive incident notification emails automatically based on their role permissions -- there is no separate sign-up or subscription. When an incident is logged, Alma sends the notification immediately to all staff whose role has the "Receive New Incident Notifications" permission enabled.

The email includes:

  • The date the incident occurred

  • The location of the incident

  • The incident description

  • A direct link to the incident in Alma (only if the staff member also has the "Manage Incidents" permission enabled)

Note: There are no configurable frequency or timing settings for incident notifications. Staff receive one email per incident at the time it is created.

The Permission: Receive New Incident Notifications

This permission lives within the Incidents section of a staff role and controls whether a staff member receives email notifications when incidents are logged.

  • On — Staff member receives an email when any incident is created.

  • Off — Staff member does not receive any incident notification emails.

Note: This permission does not grant access to view or manage incidents -- it only controls email notifications. See Incidents: Roles & Permissions for the full permission list.

How to Confirm or Update a Staff Member's Notification Setting

Only administrators can view and edit role permissions. To check whether a staff member is enrolled to receive incident notifications:

  1. Go to Settings > Roles & Permissions.

  2. Select the role(s) assigned to the staff member.

  3. Scroll to the Incidents section.

  4. Check the "Receive New Incident Notifications" toggle.

  5. Toggle it on or off as needed, then save.

Note: Changes to role permissions apply to all staff members assigned to that role. If you need different notification settings for individual staff members, they will need to be assigned separate roles.
